Setup a Business Email Address using Google Workspaces
Instructions:
Google Workspace allows you to use Gmail, Google Drive, and other Google tools under your own custom domain. This gives your business a professional email address, while also allowing you to manage users, permissions, and other admin settings.
Create your Google Workspace account
- Go to the Google Workspace website.
- Click Start Free Trial.
- Enter your business details:
- Business name.
- Number of employees.
- Country or region.
- First name and last name.
- Current email address.
- Choose whether you would like to receive updates and tips from Google.
- Create your account login:
- Choose the email address you would like to use for your business account.
- Create a password.
- Complete the verification steps.
- Agree to the Google Workspace terms and continue.
Choose your Google Workspace plan
- Complete the account setup and add your payment details.
- Once your account is created, you will enter the Google Workspace Admin Console.
- Choose the plan that best suits your needs.
Google Workspace Starter is usually a good place to begin. You can upgrade your plan later if you need more storage or additional features.
Verify your domain
To use your custom business email address, you will need to connect and verify your domain.
- In the Admin Console, follow the setup steps to protect your domain.
- Google will provide you with a verification record.
- Log in to your domain provider.
- Add the verification record to your domain DNS settings.
- Save the changes.
- Return to Google Workspace and click Verify Domain.
Domain verification can be almost immediate, but some domain providers may take longer. If it does not update straight away, wait and try again later.
Activate Gmail
- Continue through the setup process until you reach Gmail activation.
- Google will provide an MX record that needs to be added to your domain.
- Go to your domain provider’s DNS settings.
- Add the MX record provided by Google.
- Save the changes.
- Return to Google Workspace and click Activate Gmail.
Once complete, your business email will be connected to Gmail.
Add users and team members
- Open the Google Workspace Admin Console.
- Go to Users.
- Click Add New User.
- Enter the user’s details:
- First name.
- Last name.
- Email address.
- Click Save.
You can create different accounts for team members, such as personal email addresses, support addresses, or admin accounts.
You can also use email aliases for additional addresses without creating separate user accounts.
Customise your Google Workspace settings
From the Admin Console, you can manage:
- Users.
- Billing.
- Security settings.
- Two-factor authentication.
- Business logo.
- Gmail colours and branding.
- Domain settings.
It is a good idea to spend some time exploring the Admin Console and setting up your preferences.
Change your Google Workspace plan
If you need to change your plan:
- Go to the Admin Console.
- Click Billing.
- Select Manage Subscription.
- Choose Add or Upgrade Subscription.
- Select the plan you would like to change to.
Google Workspace Starter is a good starting point for many businesses, and you can upgrade as your needs grow.
Your business email is now set up with Google Workspace, and you can start using Gmail and other Google tools with your custom domain.
